Refund Policy
Last updated: 5 September 2026
ARKFEST 26 operates a strict no-refund policy. This page explains what that means, the reasoning behind it, and the narrow exceptions that exist.
The Rule
All event registrations are non-refundable once the system has confirmed payment and issued a QR ticket. This applies to every event on the portal — CodeSprint, Workshop, Promptify, BGMI & Free Fire, and Cultural Night.
Why No Refunds
ARKFEST 26 is a one-day, on-campus fest with limited seats per event. Registration fees are used to:
- Reserve a confirmed seat that no one else can take.
- Pre-order event materials, goodies, and certificates.
- Cover venue setup, equipment hire, and esports infrastructure.
- Fund the prize pool.
These costs are committed at the time of registration, not on event day. A late cancellation leaves an empty seat and an unrecouverable cost — which is why refunds are not offered once the ticket is issued.
Before the Ticket Is Issued
If a payment fails or times out before Razorpay confirms it, no ticket is issued and no charge applies. You can simply try again. The seat is released back into the pool automatically.
Exceptions
Refunds are issued only in these cases:
- Full event cancellation by the Organisers — if ARKFEST 26 or an individual event is cancelled entirely (not postponed), all confirmed participants for that event receive a full refund.
- Duplicate charge — if a technical error causes the same participant to be charged twice for the same event, the duplicate charge is refunded.
- Overcharge — if the amount charged exceeds the published fee due to a system error, the difference is refunded.
In all exception cases, refunds are processed back through Razorpay to the original payment method within 7–10 business days.
Transfer & Substitution
Registrations are non-transferable. You cannot give or sell your ticket to another person. For team events, the team leader who registered and paid may update team member details up to 24 hours before the event by contacting the Organisers — but the team leader themselves cannot be swapped.
How to Request an Exception
If you believe you qualify for one of the exceptions above, email arkfest26@gmail.com with:
- Your registered email address.
- The event(s) affected.
- Razorpay payment ID (visible in your dashboard under the ticket detail).
- A brief description of the issue.
We will respond within 3 business days.
